Summary: This page contains instructions for handling materials to be attached to a withdrawn bibliographic record.



When ordering

  1. Attach the order to the withdrawn bibliographic record if an identical copy is to be ordered
  2. change the ‘w’ code in the suppression field to ‘z’
  3. remove the cat date from the bib
  4. remove the non-MARC note field from the bib that reads ‘HOLDINGS WITHDRAWN’
  5. suppress any withdrawn ITEM records, if they are attached
  6. Add a NOTE to the order record:  Upon receipt place on “Add to Withdrawn” shelf.

When the book arrives

  1. If the book matches the record, an “rdate” is entered in the order record and the book is placed on the “Add to Withdrawn” shelf.  If the book does not match, the selector will be consulted to see if the book received is acceptable. If it is, an “rdate” is entered and the book is placed on the “Add to Withdrawn” shelf.
  2. A copy cataloger will determine if the book can be cataloged on the existing record.  If it can, they will proceed:
    1. Search Connexion for matching, enhanced copy. If found, overlay on to existing record.  (Remember to add our holding symbol to the OCLC record.)
    2. If no copy is found in Connexion, use the existing record in Sierra: enter today’s date in the CAT DATE field, enter the appropriate location code to the LOCATION field, change the call number field group tag from ‘y’ to ‘c’, and create an item record for the new piece.
    3. Ensure that the suppression field in the bib record is changed to – [dash] for NONE.
    4. Place on CP labeling truck.
  3. If the book cannot be cataloged on the existing record, the copy cataloger catalogs the title on a matching record from Connexion.
    1. Find matching copy in Connexion and export/save to Sierra, following normal copy cataloging procedures.
    2. Transfer the order record for the new piece to the new bib record.
    3. Place on CP labeling truck.
    4. After the new title is cataloged send an email to Lisa English requesting that the older, existing record be re-withdrawn.  Include the bib number and title of the record that needs to be re-withdrawn.

FINAL STEPS BEFORE COMPLETING PAGE

1. Add an email link to your name. Highlight the text of your name, select the linking button on the command bar above, choose "web link" and enter: mailto:youremail@lib.msu.edu

2. Place your page in the right hierarchy. Click the page tree icon on the top left, and in the box for "new parent page" enter the name of the existing page that this page should be filed under. For example, any cataloging procedures would have CATALOGING as the parent page. 

3. Add labels to your page by clicking the label icon on the top left. You can see a full list of available labels on the Find by label page.
