Barcoding & quality control checks for copy catalogers

This procedure is for copy catalogers temporarily assisting CatMan with placing barcodes and date due slips on cataloged books and performing quality control review of bib and item records.

This work is envisioned for two scenarios: (1) barcoding/QA as additional steps for copy catalogers working on uncataloged materials, and/or (2) barcoding already cataloged materials currently in CatMan’s backlog. All labeling will still be handled by CatMan.

The following instructions are an abbreviated version of CatMan’s more detailed procedures for barcoding/labeling and date due slips.



Supplies & equipment

Ashley will be placing supplies on each cataloger’s desk. Please check with her if you have questions or need replenishing.

  • Barcodes

  • Shield stickers

    • Main and others = clear

    • Business and Gull Lake = yellow

    • Music = pink

  • Date due slips

    • Attached using glue sticks

    • Main and others = white

    • Music = pink

    • Remote = blue

    • Art books get no date due slips

  • Barcode scanners

    • For copy catalogers who do not already have barcode scanners, some will be temporarily borrowed from unused student workstations and installed.

Applying barcodes & date due slips

In general, this step should be handled by a different team member than the one who cataloged the materials. This ensures a fresh pair of eyes! Consult the shift schedule or get in touch with Autumn for specific instructions about what materials to work on.

Also – as you work, please arrange books in call number order. This helps with labeling workflows!

  • Barcodes

    • Apply to back of book in top right corner

      • If there is really important text in the standard location, you can adjust the barcode a bit if needed, but not very much, and this isn’t done frequently

    • Barcode sticker should be about two fingers' width from edge of book in both directions

    • Apply shield over barcode

  • Date dues

    • Use glue on top portion of slip

    • Apply in the center of the first fly leaf of the book

    • If there is an image on the first fly leaf that is NOT repeated on a subsequent page, use the next available fly leaf

Reviewing records

NOTE: The most common errors discovered by CatMan involve incorrect 866 fields and incorrect location codes. Keep an eye out for these especially!

  • search for bib by call number

    • if a dup is discovered, notify Ashley or Anne E.

    • remember that the year of the call number is one of the elements that makes it unique; i.e., it’s ok for two different books to have the exact same class number and cutter if the years are different

      • additionally, remember serials never have a year in the call number!

  • open bib record and verify the following

    • 001 not duplicated

    • suppression code is -

    • language code is present and correct

    • location code is present and correct

    • cat date is present

    • title and author match book

    • copyright and publication dates match book

    • pagination matches book

    • for multivolume sets – 866 is correct

  • open item record

    • check that workstat is present

    • check that location code is correct

    • add barcode number

      • crl + i to insert a new field

      • b for barcode

      • scan barcode just applied with barcode scanner

      • save item record

Final steps

  • separate out all branch materials and give to Ashley

    • i.e., group items for Art, Business, etc.

  • for just-cataloged materials, place on “labeled by CopyCat” truck in student area of CatMan, separating out labeled and unlabeled materials

  • if working on trucks already in CatMan, return truck to Ashley for next steps
