Workstats formatting

Workstats formatting

Summary: This procedure provides guidance on the proper formatting of 949 workstat codes, an essential part of Technical Services statistics gathering.

Basic construction

Work statistics, referred to as "workstats" are a formulaic code of 14 characters that allows for the parsing of types of cataloging and processing statistics. In Connexion, before exporting a record, workstats are placed in MARC field 949 $f for most Folio job profiles. This loads them into the Workstats item note in the Folio item record.

Construct workstats using the formula and codes below:

[unit] + [work type] + [initials]

[cop] + [copymono] + [xxx] = copcopymonoxxx
[acq] + [skymatch] + [xxx] = acqskymatchxxx

For microforms, physical computer files, physical audio materials and physical video materials, include a piece count. Using no spaces, insert a comma after the workstat string and the number of pieces (fiche, discs, etc.).

[unit] + [work type] + [initials] + [comma] + [#]

Examples:

  • Original cataloger copy catalogs a 2-CD musical recording:

    • cmscopyaudoxxx,2

  • Processor in CatMan adds another copy of a video game to an existing record:

    • cataddicpfmxxx,1

  • Copy cataloger copy catalogs an item consisting of 36 microfiche sheets:

    • copcopymcfmxxx,36

Policies
  • Correct workstat codes are essential for gathering Tech Services statistics, for internal and for ARL reporting purposes. Insert a workstat whenever creating an item or bibliographic record.

  • Whenever possible, use automated means like a macro, text string, or constant data in OCLC to create the 9XX fields necessary for loading records into Folio, including the 949s that generally include workstats and other item-related elements.
