ROVI New DVD and Blu-Ray Processing

Summary: Procedure for processing of ROVI DVDs and Blu-Rays received after the original archive donation in 2015. Generally, these are materials published after December 2014.
Item Scanning
Items will be scanned by staff in CatMan
- Open box to scan UPC numbers of each piece with a barcode scanner
- Do not scan items that appear to meet the criteria for sending to Rovi Review Committee for evaluation; pull these materials and put them aside
- Send these materials to Abe Wheeler via interoffice mail with a note re: Rovi review
- Any items that lack a UPC barcode, put aside
- Give these materials to A/V Copy Cataloger
- Scan all other materials and send the recorded data to Lucas Mak as a TXT file
Cataloging: Things to know
Some items will be new to the library, others will be Rovi adds to existing locations (e.g. DMC). Either way, records should be evaluated along the rubric below.
Records will be acquired as copy from OCLC and will include OCLC numbers in 001 and 035 and loaded into Sierra before initial searching begins.
- Processors should forward any pieces that lack a record in Sierra to the A/V Copy Cataloger.
- CatMan will address any references to online copies, download codes, etc. included with DVDs or Blu-Rays. Catalogers won't need to note availability of digital copies or codes for digital copies or change / remove any such notes in the catalog record. CatMan's relevant procedures are those for digital copies and for ephemera.
Adds
- Adds may be to DMC or to existing Rovi holdings.
- Adds to DMC will be identified by finding MULTI locations in the bib (RV and another location; RV will be the added location).
- Adds to Rovi will be identified by the existing bib already containing a 099 call number field (for example: 099 __ CX9 D0136164 Blu-ray Video)
- Records for adds should be evaluated along the same rubric as the Cataloging step below, to ensure that the new Rovi piece has been added to a matching record.
- If record matches per the rubric below, add item record and workstats per the last two rows of the rubric table.
- If record does NOT match, pass along to copy cataloging as a problem.
Cataloging
Review bib record for each piece
- Search each piece by UPC code in Sierra (i ISN index).
- Any pieces that do not retrieve a record based on a UPC search, forward to A/V Copy Cataloger.
- Check for matches, discrepancies, and make small edits as instructed.
- Send all flagged pieces to A/V Copy Cataloger or A/V Original Cataloger as appropriate.

- Place pieces in video boxes until filled.
- Deliver filled video boxes to CatMan.
