Africana newspaper receiving

Summary: Instructions for receiving Africana newspapers via various acquisition workflows in order to determine desired access treatment, namely full cataloging or addition to existing collection-level manuscript collection.


Newspapers received through the various acquisitions workflows (LCCAP, African approval plans, or other acquisitions methods) should be searched by title in Sierra.

  1. If a cataloged record is found, the incoming issue(s) should be placed in the workflow to add them to the Sierra ILS checkin record and to the LHR in OCLC following standard practice. 
  2. If an uncataloged record is found in Sierra ILS, or if no record is found, the receiver should contact Africana selector, Jessica Achberger. She will decide on a case-by-case basis how to handle the incoming newspapers in these situations, as follows:
    1. If the title is already held in the Africana newspaper manuscript collection (MSS 555), existing issues may be pulled by the selector from the collection and sent to a serials cataloger for full-level cataloging, together with the newly received issue(s), for SPC Remote Storage Reading Room Use Only (location = sprrr).
    2. Or, in other cases (irrespective of whether the title is already held in the manuscript collection), Jessica may contact the vendor to ask them to stop sending future issues of a particular title. The newly received issue(s) should nevertheless be sent to her for inclusion in the manuscript collection.





Policies

A project was undertaken in 2018 to catalog long runs of Africana newspapers using full-level records. Shorter-runs were placed in a manuscript collection (MSS 555) in Special Collections for access at the collection rather than title level. This procedure deals with new receipts of titles in the interim and post-project era and outlines the workflow for working with the selector to determine appropriate treatment.
