Processing music materials

Summary: Procedure for processing materials going to the Music Library.




Music CD/DVD processing

  1. The next accession number on the sheet of labels will be placed on the CD/DVD case, on the front upper left corner.
  2. In the Instance Action menu, select Edit MARC record and add accession number to the 099 field using this format “CD XXXXXX”.

  3. The Permanent location in the Holdings record should be: muncd (for CDs), muvid (for DVDs).
  4. In the item record:
    1. Under Item data, select Other scheme under Call number type drop down menu.
    2. CD XXXXXX , or DVD XXXXXX will be typed in the Call number field, with a space between CD/DVD and the number.
    3. Booklets (folded pamphlets are not considered booklets) in the CD/DVD case will have the accession number written on the booklet on the front upper left corner.
    4. Under Enumeration data, fill in Volume field; CD & Booklet or DVD & Booklet.
    5. Add a pink barcode to the front upper right corner of the case, and enter barcode number to the item record.
    6. Verify that the Permanent loan type is a 14 Day Loan.
  5. Place a property label on the back bottom center of the case.
  6. Titles with multiple CD/DVDs will also have a note in the Description of pieces under Item data describing the contents. For example: Box contains 7 CDs & Booklet.
  7. CD/DVD titles with multiple cases (usually in a box set) will need to have the accession call number on all cases, and if accompanied by booklet, written on upper left corner.
    1. The original accession number label will be placed on the box/packaging containing CD/DVDs along with the barcode and a property label.
    2. Each case will need the accession call number on it.
    3. Each case will need a property label placed on the back, bottom center.
  8. Boxed sets that contain multiple discs in individual soft sleeves will get the accession call number written on the top left corner of each sleeve.

Music Score Processing

All music scores need a MSU property stamp, pink date due, and pink barcode on back of piece.

  1. Search record by call number
  2. Verify that you are in the correct record:
    1. Verify that the call number in the record matches the call number on the piece.
    2. The call number on the score should have MUSIC stamped above.
    3. The title on the piece should match the title in the Instance record.
  3. Verify that the Holdings and Item record have a “mu” location code.
  4. Add a pink barcode to the back of piece and enter barcode number to the item record.
  5. The pink date due is placed on the inside cover of the folder.
  6. Place the MSU property stamp or sticker centered on the inside cover of the folder.
  7. If the score is in a Pam folder, then print a call number label for the folder.

Music Score with Parts

  1. If a score has parts, the parts will be in an envelope at the back of the folder. Verify all parts are in the pocket and stamp all parts with property stamp on the bottom of the back page. 
  2. There is one item record for the entire piece. The volume field will contain score and number of parts written in this format – Examples:  Score & part, Score & part 1-3. 
  3. Add a pink barcode to the back and enter barcode number to the item record.
  4. Add the following note to the Description of pieces under Item data: One NOT barcoded part/s in pocket (back cover). Verify that all items are in pocket. If any are missing or pocket is empty, stop and ask Supervisor before check-in or checkout. (update the number to match number of items in pocket) Staff only boxes should be checked.
  5. If piece is in a Pam folder, then print call number label adding Score & part to the bottom with this format:

Oversize Music

M call numbers

  • Are always scores.
  • Oversize conventions apply to Music scores when it measures over 42 cm high and 36 cm depth.
  • Holdings and item location are muovr
  • Add “Oversize” to Call number prefix field, do not use f. in the call number.
  • Music will place the letter "O" on the piece after it arrives there.
  • Verify Music Library location stamp is over the call number in the book.

ML and MT call numbers no longer have a separate oversize location.

  • ML re-labels may appear with the old f. in the call number. When we find these, the f. should be removed from the call number label.
