Temporary SPC tagging workflow

Summary: Procedure for extracting FOLIO data and using Excel automations to print tags for SPC materials.


Extracting FOLIO data

  • In Inventory:

    • Holdings search for sptmp

    • Actions → save holdings UUIDs

  • In Data Export

    • Upload UUIDs file

    • SPC tagging job profile

    • Download resulting .mrc file

  • In MarcEdit

    • Tools → Export tab delimited

    • Load settings for 900 subfield export

  • In Excel

    • Open Excel tagging template file

    • Open exported .txt file and run through delimited wizard

    • Send to CatMan

Prepping tag data

  • Copy/paste values to template file

  • Clean up

    • Remove "1" and ";" from copy number column

    • Check any rows with "N/A" or errors and resolve (using raw data tab as a reference)

  • Use item HRIDs to perform Bulk Edit

    • Remove item temp location

Printing tags

  • Copy/paste values only into template mail merge tab

    • Choose "Paste special" and "Values only"

    • In Contributor column, use find/replace to remove any "0" values

  • Open Word doc tag template here to run mail merge:

  • Mailings tab:

    • "Select recipients"

    • Navigate to Excel file and choose "Current mail merge" tab

    • Preview results

  • Print mail merge

  • Feed tagging sheets one by one into printer

Maintaining AEON ingest spreadsheet

  • Each time a tagging batch is run, grab the data populated in the Aeon tab

  • Append to master spreadsheet (Head of CMS) and provide to SPC when move is complete
