Processing Archive Materials

Summary: Processing instructions for new cataloging and adds to the MSU, University Archives & Historical Collections. Archive maintains MSU cataloged records and preserves and provides access to the institution’s historical records.





Processing Archive Monographs, Serials and Transfers 

  1. Create one blank Item record for each holdings record.

  2. Items are given a non-circulating Loan type and Restricted status.

  3. Do not create additional item records (other than the 1st dummy blank item record) for individual Archive/SPC Issues.

  4. Create and/or update FOLIO holdings in the holding record and create Local Holding Records (LHRs) in OCLC Worldshare serial Holdings Statement.

Transfers

  1. CatMan will handle Archive transfers for both serials and monographs.

    1. The transfers will adhere to the same guidelines as those mentioned above that follows along with CatMan processing for SPC's materials.

New Monographs

New monographs will most likely not come through CatMan, unless the items require non-acidic envelopes, or if the title includes supplementary materials that necessitate envelopes for the components.








Policies

CatMan added Archive processing in July of 2025. The instructions for Archive materials will follow the the same processing as Special Collections materials.
