Batch cataloging e-book packages
Summary: This page outlines a new pilot workflow established in January 2026 to load batches of e-book records from OCLC Collection Manager into FOLIO inventory for an Acquisitions processor to review.
Preparing and executing batch load
In OCLC Collection Manager, select identified package and set up MARC record delivery & holdings
Establish a package name that will be used in all loaded records in an instance admin note
Enter the name in the table below
Download MARC record file
Export file as tab-delimited, save with package name
Add file to table below
Open file in MarcEdit
Extract any records missing 050/090, 300, and/or 6XX fields and create a separate file
In both files, insert a 981$a with the
Load processor-ready records with ERM1 (assigns BatchER stat code)
Load problem records with ERM2 (assigns UncatERcopy stat code)
Acquisitions processing
In Inventory, filter by BatchER stat code and select a record to process
Pull up the title in eHoldings
Use the ISBN to locate the title’s main landing page
Use search box on this page under "Packages" to filter to "selected"
Click on the resulting package name; now you are on the package-specific record for the title in question
Click the provided access URL
Any problems accessing the title? Bump! (See below)
Compare the online resource and the provided Inventory record to determine if the record can be cataloged or should be bumped to the copycat team
Use the record review matrix found in the E-book processing procedures
Info from the regular E-books cataloging procedures page may also be useful, especially the “Record evaluation checklist” section
For this workflow only, there is no need to add an 856 field
If the record needs to be bumped
Actions → Edit instance
Remove BatchER stat code
Add UncatERcopy stat code
Add a brief admin note about the identified problem
Save and close
If the record meets requirements
Catalog title in Inventory
Actions → Overlay source bibliographic record → ACQ → Cat12
Update title in eHoldings
Add erm-foliocat tag to the package-specific page found during Step 2
Copy access URL
Update Inventory holdings with URL
Return to cataloged instance in Inventory
View holdings → Actions → Edit
Paste access URL into this holdings electronic access field (near the bottom of the holdings record)
Save and close
