ROVI UMD Movie Processing

Summary: This procedure supports a short-term project to review and process Rovi UMD records. There is a finite number of these movies, so this is not a growing collection. The UMD movies require the use of a Play Station Portable, (PSP) player. The movies will be shelved on the same shelves that the new ROVI materials are held on. New "RV" barcodes will replace the old ROVI barcodes and call numbers that the records originally came into our catalog with.



DO NOT OPEN THE case the disc is held in. The case does NOT open without damaging it.


Print the Sequential "RV" Box Barcodes

Searching

  1. Search for the title using an "i" for the UPC code or search other means if not found under the UPC code.
  2. Verify that the title matches, including the subtitle (245 |b), author, 300 description, year, edition, and format (UMD, etc).

General Instructions

  1. Place the UMD movie disc into a white envelope.

  2. Yellow Envelope.
    1. Leave the ephemera (including the movie cover) and all other original packaging material in the original yellow envelope.
    2. Keep the identifying title and barcode information on the outside of the yellow envelope to process below with the other ephemera materials.
  3. Duplicate the RV movie barcodes twice.
  4. Place one RV barcode on the top left corner of the white envelope.
    1. Also, place both stickers (below i & ii) on the front center outside of the white envelope.
      1. UMD Disc, Requires Play Station Portable, (PSP).
      2. Disc casing DO NOT open.
  5. The second RV barcode is placed on the yellow envelope on the top left corner just under the existing ROVI identifying title label.

Bib Record Updates

  1. Suppression
    1. Single bib location "rv"
    2. If needed change suppression to "v" (ROVI Local) from "n" suppression.
    3. Multi-location records also need to be displayed if the suppression is an "n" change it to a "-" dash.
    4. See below for item record instructions to change the suppression to a "v" on both single or multi-location items records
  2. Bib record, insert a "y" tag 035 field with the original ROVI barcode number, e.g, y 035 (ROVI)D0062295)
    1. The "RV" barcode replaces the "D" barcode and acts as the call number and barcode on all ROVI UMD movies.
  3. Call Number: 
    1. Paste over the existing "c" 099 call number with the new "RV" barcode, or insert a new "c" tag 099 call number using the "RV" barcode number.
    2. Add the format designation "UMD" to the end of the call number as you will do to the same to the item record call number.

  4. Multiple discs per case need an:  h 866  Disc 1-2

Item Record Updates

  1. Copy number is c.1 as long as the call number is different from the other copies on the record.
  2.  Item location should be rvdvd.
  3. Change the item record ICode2 to a "v" ("ROVI local") or paste over an existing call number. Do this in both single and multi-location item records.
  4. IType is 7 (14 days)
  5. Item call umber
    1. Paste the "RV" barcode over the existing "c" tag 099 or insert a new 099 field.
    2. Add the format "UMD" to the end of the call number as you did to the call number in the bib record, e.g. CN8 RV0057146 UMD
  6. Multiple discs per case need a volume field in the item record, disc 1-2
  7. On the envelope, place a volume label for the discs numbers under the "RV" barcode label, e.g.
    1. RV001010111 UMD
      disc #1-2
  8. Insert "f" Staff note, "ROVI Coll.-processed date." (Student terminals use F12 macro.)

Link both PSP Player item records to the individual movie bib records

  1. Link the two items record below to each of the individual UMD records. The PlayStation item records are attached to this bib record, "PlayStation portable / Sony." (.b133753852).

Processing the UM disc

  1. On the disc, place a small hub label around the UMD sticker. Avoid placing hub label over any of the title information.
    1. Before placing the hub label on the disc take note that the sticker will NOT cover any of the disc information.
  2. Place the disc back in the white envelope.

Process the White Envelope

  1. Keep the identifying title and barcode information on the outside of the yellow envelope to process below with the other ephemera materials.
  2. The two stickers may have already been placed on the white envelope (placed middle center): 
    1. UMD Disc Requires Play Station Portable (PSP)
    2. Disc casing DOES NOT open
  3. Ownership sticker is placed on the outside (bottom center) of the white envelope.
  4. Place a yellow "DO NOT Place In Book DROP" sticker on the top RIGHT corner of the white envelope.
  5. Place the item in barcode number order before sending the full box to shelving.

Processing Media Ephemera

  1. Transitory written or printed matter not meant to be retained with the ROVI UMD materials are kept in banker boxes held in the yellow envelopes they came to MSU in.  The envelopes will also be assigned new RV barcode numbers.
  2. Keep all UMD ephemera items in the same banker boxes, so that they can be sent together to DMC.
  3. The duplicate "RV' barcodes should already be on the envelopes, but do that if it has not been done.
  4. The identifying labels (title/barcode ... ) should already be on the yellow envelopes.
  5. Type a new identifying label if there isn't one on the yellow envelope.
    1. Identifying label should include:
      1. The original "d" barcode
      2. The new "RV" barcode
      3. Title
      4. UPC number
  6. Scan barcodes into a create list to insert the following "f" Staff note, "Original packaging stored in DMC banker box: Bxxx (xxx denotes the banker box numb0er.). You can give Lisa the barcode numbers to put the list into a creat list.
  7. Place the envelopes inside the banker box in barcode number order.
  8. Ask Don for new banker box number as they fill.
