Summary:

This process is to suppress uncatalogued instances using Bulk edit.


  1. Navigate to Inventory

    • Go to the Instance tab.

  2. Apply Filters:

    • Suppress from discovery: No

    • Instance status: Uncataloged

  3. Inspect Effective Location:

    • Open the filter for Effective location (item).

    • If any locations display, inspect each instance for potential cataloging issues, course reserves, or other problems.

    • As issues are identified or triaged for investigation, update the Instance status to "Other".

      • This will exclude instances with holdings and items attached.

  4. Re-apply Filters:

    • Suppress from discovery: No

    • Instance status: Uncataloged

  5. Save Instance UUIDs:

    • In the Inventory column:

      • Actions → Save Instances UUIDs

  6. Bulk Edit:

    • Go to Bulk Edit.

    • Set:

      • Identifier: Inventory-instances

      • Record identifier: Instance UUIDs

    • Upload the .csv file with Instance UUIDs.

    • Wait for records to be retrieved.

  7. Review Records:

    • Examine the record preview for issues:

      • Suppress from discovery should be "false".

      • Instance status term should be "uncataloged".

  8. Start Bulk Edit:

    • Actions → Start bulk edit

    • Options → Suppress from discovery

    • Actions → Set true

    • Uncheck “Apply to all holdings records” and check “Apply to all item records.”

    • Confirm and commit changes.
