Summary: A basic , but not exhaustive list of changes that may be needed when deriving an RDA record from an existing AACR2 copy record. When deriving overview of RDA record elements and acceptable hybrid practices, for catalogers upgrading or deriving from AACR2 copy. When upgrading or deriving records for non-print formats, some considerations not listed here will apply . See (see Nonbook materials procedures for additional guidance).

After deriving a new record:

In the fixed field:

  • Change Desc to i to indicate that the rules being used are RDA
  • Adjust dates as appropriate 

In the variable fields:

  • Add $b eng to the 040 if not already present to indicate that English is being used to create the MARC record
  • Add $e rda to the 040 (040 fields should be in this order: $a $b $e $c)
  • Add appropriate relationship designators 1XX and/or 7XX fields, if you can readily locate an appropriate term in RDA Appendix I or J
  • Replace any Latin abbreviations in the record, if present.
  • Edition statement should be transcribed as it appears on the source of information
  • If you have the piece the description is based on in hand and can know what type of information is in the 260 (i.e., publication, distribution, etc.), change the 260 to 264 and add the correct corresponding 2nd indicator (ex. 264_1 is used for publication information)
  • Adjust date(s) as needed in 264 and move copyright date to its own 264_4, if present.
  • Spell out any abbreviated words in the 300 (i.e., pages, volumes, color, illustrations, portraits) except cm, in, or other dimensions or abbreviations or symbols approved in appendix B of the RDA Toolkit
  • Add the CMC fields for content type, media type, and carrier type fields (336, 337, and 338 MARC), which replaced the GMD. In combination, the CMC fields describe the material type of the item being described in the bib record.
  • The numbering of series should be recorded in the 490 field exactly as it appears on the source of information. In the 830 field, continue to use the form of numbering as indicated by the authority record

    Remember that upgrading an AACR2 record essentially means re-cataloging the piece in the hand. Use this guide to revise the record and bring it into RDA compliance.

    In some cases, square brackets that were needed under AACR2 may need to be removed in an RDA record. Generally speaking, most core, manifestation-level elements only need to be bracketed if the information is taken from a source outside the resource itself. See RDA 2.2.4 for more details

    Sound recordings, videos, digital files

    It is recommended to repeat sound, projection, video or digital file characteristics from 300 $b/538/500 in the appropriate 34X field(s). Best practice guidelines have not yet been issued, so for now, see MARC documentation for guidance:

    Hybrid records

    AACR2/RDA hybrid records are less common now (as of 2018) than they were when RDA was first implemented in 2013. However, catalogers will still periodically work with hybrid records if they are the only copy available, or if they wish to add some RDA elements to an existing AACR2 copy record without performing a full upgrade.

    Use this guide to determine what elements are acceptable in a hybrid record, per the PCC's guidelines.
