E-theses (AACR2)

Summary: This procedure covered the cataloging of electronic MSU theses (ETDs), but not print or microfiche. The procedure is no longer in use. See more current procedures on ETDs cataloging.

These old instructions date from before ProQuest records for e-theses were loaded into the catalog for the catalogers to work from. These instructions were still used if no ProQuest record was found in the catalog. 

Constant data for an e-thesis

Set up constant data with these fields:

Creating the e-thesis record

You can view the PDF of the thesis by searching the Proquest database at:
     http://search.proquest.com.proxy1.cl.msu.edu/pqdtft/advanced?accountid=12598

If you do not have a print record to derive from, create an e-thesis record on a new workform, recording the author, title, subjects, etc., as usual, and applying the e-thesis constant data above. To complete the record:

Fixed field:  Type=t ; Form=o ; Cont=bm ; Ctry=xx   [Some older e-thesis records may have Type=a]

245  Insert the GMD: |h [electronic resource] after the title proper.
          Example: 245 14 The nesting habits of crows |h [electronic resource] : |b a survey / |c by Chris Jones.

260   Use the |c subfield (date) only.

300   Edit the 300 and 502 fields, adding paging and noting illustrations if present.
           Example:  300   1 online resource (ix, 128 p.) : |b digital, PDF file, ill.

502   Complete the 502 field with degree, department or program name, and date.
           Example:  Thesis (Ph. D)--Michigan State University. Dept. of History, 2011.

588    Add the 'viewed on' date within the parentheses.
           Example:  Description based on online resource; title from PDF t.p. (ProQuest, viewed Dec. 6, 2011)

Completing the URL

To complete the 856 field, use the following base URL (from constant data):

At the end of the field (after the colon), add the UMI number. This can be found near the bottom of the Citation/Abstract page, labeled as “Publication / Order Number”. This number does not (and should not) contain any hyphens, unlike the way it appears on the microfiche header).  The UMI number also appears on the second page of the PDF copy.
