Processing Rush Items (obsolete)

This procedure was archived in 2023 and is obsolete. The information below is retained for historic value. It is not reviewed or updated.


Summary: The procedure describes steps to be taken in the processing, labeling, and barcoding of rush items for different MSU Libraries locations.



Flags and streamers found in the material can be removed once the materials are processed with the following exceptions:  Yellow Reserve and Notify streamers.

Most rush material should be processed following the usual Quality Control guidelines for labeling materials. Below are the categories of rush material along with their specific processes.

Some locations require a specific IType and status code to force a different loan rule, while other locations are set to default to a specific loan period and they do not need the IType or Status changed. If there are no instructions for an IType or status change you do not need one.

Browsing

  1. Books destined for Browsing will have an orange flag in them.
  2. Do not stamp Browsing above the handwritten call number on the inside of the book.
  3. Item location is 'mnbr' and uses a white barcode.
  4. Change the Permanent Item Type to 21 days.
  5. Place an orange date due slip inside on the first fly of the piece.
  6. Labeling books with a book jacket - Two call number labels are used: One call number label is placed on the piece itself and a second call number label is placed on the book jacket. Additionally, a "Browsing" label is placed on the book jacket above the call number label.  Do not place a "Browsing" label on the piece itself. After the labels are placed on the book jacket, cover it with a plastic cover.
  7. Barcoding books with a book jacket – Place a white barcode on the back of the piece itself and a duplicate barcode on the back of the book jacket.
  8. Labeling books without a book jacket - A call number label is placed on the piece itself and a "Browsing" label is placed above the call number label.

Business Processing

  1. Books destined for Business Reference (bunqr and bunrf) and Business Popular (bupop) will have a Red rush flag.
  2. Barcode with yellow barcodes.
  3. Catalogers should stamp "Business Library" above the handwritten call number on the inside of the book, or on shelf-ready books place the stamp on the top left corner of the inside cover, or on paperbacks place the stamp on the top left corner on the back page of the title page.
  4. When processing is complete, CatMan staff will put the item in-transit using the “Check-in (No Patron)” process before placing books on the branch library mail shelf. 

    Please note:  When books are checked in by the branch from in-transit status, the system may alter any special location Itypes and Status fields. Branch Libraries should check these fields and edit them as needed.

  5. Special handling for BUSINESS LIBRARY POPULAR COLLECTION
    1. Books destined for Business Popular (bupop) will have a Red rush flag.
    2. Acquisitions will retain the book jacket on these books.
    3. Verify that the item location is bupop. 
    4. Labeling books with a book jacket - Two call number labels are used: One call number label is placed on the piece itself and a second call number label is placed on the book jacket. Do not place a location label above the call number on the book jacket or the piece itself.
    5. Barcoding with the book jacket - Place a yellow barcode on the back of the piece itself and a duplicate barcode (which is white) with a clear yellow barcode cover on the back of the book jacket.
  6. BUSINESS LIBRARY REFERENCE COLLECTION
    1. Verify that the item location is either bunqr or bunrf.

Career Collection

  1. Item location is 'ca' and uses a white barcode.
  2. Career should already have a location stamp placed above the handwritten call number which located is inside the book.
  3. Place a lime green Career date due slip inside on the first fly of the piece.
  4. On the outside of the book place a Career location label above the call number. The location label is placed above the call number whether the call number fits on the spine or the front cover.

Children's & YA Literature Book Collection

  1. Books destined for the MSU CHILDREN'S & YA Literature Collection will have a lavender streamer in the book.
  2. The bib location has both mn,mnjuv.
  3. The bib record should also have a series title, "s  830 0    MSU Children's & YA Literature Collection.|5MiEM"
  4. Do not stamp Children's & YA Lit. above the handwritten call number on the inside of the book.
  5. Call number checks:
    1. Children's reclass materials coming to CATMAN, the LC call number is what is written inside the book, not the Dewey decimal call number.
    2. Reclass project: draw a line diagonally \ across the handwritten LC call number written inside the book. See step #6 for bib record call number updates.
    3. New cataloged material, verify that the handwritten call # inside the book matches the "y" tag 099 Dewey decimal call number in the cataloged bib record.
  6. Before you update the call number, verify that the bib record only has one "c" tagged call number.
  7. Change the bib call # tags as follows:
    1. Change the "y" tag 099 to a "c" tag
    2. Change the "c" 090 or 050 call number to a "y" tag.
  8. BIB Suppression field should be a "-" dash (available).
  9. Change the mnjuv Item location to one of the following in the table below. No Item location will have the mnjuv location, only the bib record has mnjuv.

  10. Place a lavender Children's date due slip inside on the first fly of the piece.
  11. All Children’s books will have “C&YA LIT COLL location label (same reason as the Faculty and Chavez books)
  12. Determine where the labels will be placed depending on the width of the spine and the width of both the call number and the "C&YA LIT COLL" location label.  If the width of the call number label or the width of the C&YA LIT COLL location label requires one of the labels to be on the front of the book, place BOTH labels on the front of the piece with the location label placed UNDERNEATH the call number label on the front of the piece.
  13. Books with a book jacket - Two call number labels are used: One call number label is placed on the piece itself, and a second call number label is placed on the book jacket. Additionally, a "C&YA LIT COLL." label is placed on the book jacket cover above the call number label or under if the label is on the front of the book. After the labels are placed on the book jacket, cover it with a plastic cover. Be sure a call number label has been placed on the book itself.
  14. Place a white Barcode on the book itself and then duplicate the barcode onto the book jacket.

Makerspace

  1. Makerspace books will come with a Rush streamer in them.
  2. Books destined for the Makerspace will have a "MAKERSPACE" stamp above the call number which is located on the inside of the book.
  3. Place the appropriate date due slip inside on the first fly of the piece:
    1. mnmsb (book)  
    2. mnmst (technology) has two date due slips 7 day or 72 hour date due
  4. Place an ownership stamp on the inside front cover..
  5. Call number label should also have MAKERSPACE typed above the call number.
    1. Determine where the labels will be placed based on the width of the spine and the width of both the call number and the Makerspace location label.  If the width of the call number label or the width of the Makerspace location label requires one of the labels to be on the front of the book, place BOTH labels on the front of the piece with the Makerspace location label placed ABOVE the call number label on the front of the piece.
  6. Item Records:
    1. Location code for books: mnmsb.  Circulates 21 days and  Itype value should be 0 (zero).
    2. Location code for Technology materials: mnmst. Technology materials circulate three days (198 Melcat non-requestable), unless specified to circulate 72 hours.  
      • Itype  “198” (Location is set to circulate 7 days)
      • 72 Hour, Itype “18” (72 hour loan)
  7. Use a white barcode.

Microform Guides

  1. No stickers needed.  They do their own identifying markings for microform guides.

  3. Non-circulating: IType 199 and Status letter "o".

MSU Collection

  1. MSU Collection books are processed on the Rush truck because they are handled separately from the Quality Control materials.
  2. Books destined for the MSU Collection will have a "MSU COLL." stamp above the handwritten call number located on the inside of the book.
  3. Verify that the call number matches the call number in the bib record. If the record has multiple call numbers you may need to insert the call number in the item record. Check with staff.
  4. Place a white date due slip inside on the first fly of the piece.
  5. Place an ownership stamp on the inside front cover.
  6. Determine where the call number labels will be placed based on the width of the spine and the width of both the call number and the MSU COLL. sticker. Place the MSU COLL. sticker ABOVE the call number when the labels fit on the spine. If the width of the call number label or the width of the MSU COLL. sticker requires one of the labels to be on the front of the book, place BOTH labels on the front of the piece with the MSU COLL. sticker placed BELOW the call number label on the front of the piece.
  7. Item Record location code is mnmsu. Circulates normal depending on the patron type: IType 0 (zero) and status "o";  or 21 days when appropriate for periodicals.
  8. Barcode using a white barcode.

Notify

Notifies (that are not associated with any of the categories listed on this procedure) do not have any special labeling or barcoding processes.  However, after processing, the books are delivered to Patron Services (Steve) for patron notification.

Planning Reports

  1. Remove the card pocket if there is one.
  2. Search for the record by using the bib (.b#) record number.
  3. Verify that the titles on the piece match the title in the records 245 field.
  4. Item record
    1. location:
      1. Standard size: mnprc
      2. Oversize:  mnopr
    2. Normal circulation (Normal IType) and Status - available.
    3. Insert a white barcode in the item record and place it on the back of the book.
  5. Label (All capital letters to match the Bib record 099 call number in all capital letters)
    1. Open the Wide label template on the desktop.
    2. Use bold, Arial 12.
    3. Copy the state from the cataloged record and paste it into the label template text box.
    4. Hit new line (enter key), space over 2 spaces and then copy and paste the city.
    5. Hit down (enter key) two lines.
    6. Copy and paste the title 245 field up to the "c" delimiter, or up to the period if there is no "c" delimiter.
  6. Print label.
  7. Place Label on the front upper left corner of the book.
  8. Place a yellow "P" sticker under the left corner of the label for standard-size books.
  9. Oversize books placed a letter "O" sticker under the left corner of the label.  Make sure it fits in the box.
  10. Place on the Central Distribution truck by Max's desk.

Reference

  1. Does not get a date due slip.
  2. Handwritten call numbers inside reference books should have a location REFERENCE stamp above the call number except for Maps and Music. Area Studies will be stamped Area Studies Ref.
    1. Reference stamp above handwritten call number on ssouf and ssqrf: 
      1. Monograph titles are stamped REFERENCE above the handwritten call number.
      2. Traveling serials, do not use the REFERENCE stamp above the inside handwritten call number.
  3. Main Reference only, stamp "REFERENCE LIBRARY USE ONLY" on the right side of the inside cover or the first available page. The stamp is placed about where the date due would normally be placed. Place the stamp on a sticker if the page is too dark.
  4. Item Records:
    1. All reference item records have IType "199" and Status "o."  NOTE: Exception to this is the 'ssqrf' location code - See Closed Reference instructions below.
    2. Main reference locations are ‘ss’, ‘ssfou’, or ‘ssqrf.’
    3. Use a white barcode for Main, Art, Map Library, Area Studies Ref. and Turfgrass; use a pink barcode for Music Library, and yellow for branch libraries. No barcodes for Turfgrass Beard collection.
      1. Location code "af" formerly Africana Ref., changed name to Area Studies Ref (9/2018).
  5. Main Reference location stickers:
    1. ss (Reference)  Place an RC sticker above the call number label, or if the spine is too narrow place the RC sticker to the right of the call number.
    2. ssfou (Funding)   Place an FR sticker above the call number, or if the spine is too narrow place an FR sticker to the right of the call number.
    3. See below instructions for ssqrf (Closed Ref.)
  6. Internal branch libraries (af, ar, mu, mp) put their own stickers/sub-locations on their Reference books.
  7. Keep latest items: deliver newly processed items to the Reference shelves; pull off the older edition to complete the transfer to the permanent location.
  8. Leave the Red Rush flag in the books if it is going on a shelf for pickup.

Closed Reference

  1. Closed Reference books have a "REFERENCE" stamp above the handwritten call number located on the inside of the book.
  2. Bib location ss.
  3. Item location ssqrf (Closed Ref.)  Location has a 2 hour circulation period.
  4. Item IType 198 (MelCat non-requestable) and Status remains Available.
  5. Insert a 31293 barcode using a white barcode.
  6. Closed Reference location stickers:  place letter stickers CLR and a GREEN dot above the call number, or if the spine is too narrow place the CLR letters and a GREEN dot to the right of the call number.
  7. Paste the purple Closed Reference date due slip inside the book.
  8. Verify that there is an MSU ownership stamp inside the front cover.
  9. Keep latest items: deliver newly processed items to the Closed Reference shelves; pull off the older edition to complete the transfer to the permanent location.

Reference National Bibliography

  1. These are older bibliographies that came from the old Consulting Reference location. There will probably not be new items added to this location.
  2. Bib location so (MSU NATL BIBLIOGRAPHIES, 1 EAST)
  3. Item location code so.
  4. Non-circulating items: IType 199 and Status letter "o".
  5. Place the yellow letter stickers "RB" either above the call number on the spine or on the front cover under the call number.

Textbook Collection

  1. CatMan staff will add the call/accession number to the bib record in the "c" tag 099 field.
  2. Verify that the location stamp, “Textbook Collection” is placed on the inside verso cover page or verso title page if it’s paperback.  No call number will be handwritten inside the book.
  3. Normal processing (stamping and barcoding.)
    1. No re-binding is needed, which includes books stapled or three-ring binders.
  4. Place a white date due slip inside on the first fly of the piece.
  5. Verify that bib records have a series “s” 830_0 ASMSU/Spartans.4.Spartans Textbook|5MiEM.  NOTE: If the item record is transferred to a full bib record, the series field needs to be transferred to the full bib record.
  6. Item Record
    1. Item location code is mntbk
    2. Checkout period is 4 months.  The loan rule prevents holds and recalls.
    3. Change ITypes to 198 in order for these to be MelCat non-requestable.
    4. Insert an "f" staff note in each item record stating from which organization we received the book and that it is for the Textbook Project. e.g. "Received from Spartans.4.Spartans for the Textbook Project.", or, "Received from ASMSU for the Textbook Project."
    5. Use a white barcode.

Accession call number labels

  1. Assign the next Textbook accession call numbers to the attached Word document.
  2. Search Sierra using an "e" call number search to verify that the new number is not a duplicate.
  3. Call number labels start with the word “Textbook” followed by one space and then the accession number. e.g. "Textbook 98"
  4. Add copies: Each copy has a unique accession call number, so copy 1 is the default. As long as the call number is different from the copy already on the record, add copies will always be a copy 1. 
  5. Multiple copies on single Textbook location records
    1. Place the first “c” tag call number into the bib record.  Do not leave the call number in the bib record as “Textbook” without an accession number.
    2. Add copies: place the call number for additional copies into the item record “c” tag.
    1. Multi-location records: When adding a textbook to a multi-location record where the primary call number is an LC  or call number other than a textbook accession call number, place the Textbook call number in the item record only and not in the bib record.
    2. The call number is placed outside of the book preferably on the spine, or the front cover if the spine is too narrow.
    3. Place "Textbook" above the call number if the label fits on the spine, or below the call number if the label is placed on the front cover. 
  6. Give finished books to CatMan Processing staff to place books on the Central Distribution truck or shelves.

Withdrawal of Textbook Collection books

Once a year (usually after the Spring semester ends) books will be withdrawn that have been in this collection for over 2 years and have not had any checkouts for the last 2 year period.

Travel Collection

  1. Travel books do not have a location stamp above the inside handwritten call number.
    1. Bib and item location is "ir" and uses a white barcode.
    2. Change item IType to 3 (21-day) circulation.
    3. Place a goldenrod Travel date due slip inside on the first fly of the piece.
    4. On the outside of the book place a TRAVEL location label above the typed call number. The location label is placed above the call number whether the call number fits on the spine or the front cover.

Turfgrass (Beard)

  1. Turfgrass is considered a rush book because they are non-circulating. Bookplates are placed inside the books by Turfgrass before they are sent to cataloging. New acquisitions are always gifts or donations.
    1. Insert a red rush flag inside the book if there isn't already one in it
    2. Location tfbrd
    3. IType 199 and Status "o"
    4. Write the call number on the book gift slip.
    5. No other stickers.
    6. Gift plate should already by inside the book.
    7. Barcode (31293 ...), but do not place a barcode shield over the barcode.

Delivery of Books After Labeling

  1. Deliver Interlibrary Loan books to ILL. 
    1. Reserve books with yellow flags in them are given to Reserve staff. Exception: Branch Reserve books (yellow flag) are placed in-transit and sent directly to the branch.
    2. Branch books are checked in for in-transit by a CatMan staff person and then placed on the corresponding branch mail shelf. Please note:  When books are checked in by the branch from in-transit status, the system may alter any special location Itypes and Status fields.
    3. Browsing and Main Library Notifies are delivered to Staff (Steve) in Patron Services.
    4. Career, Travel, Faculty, and Juvenile books are placed on the CATMAN truck labeled "Volumes for Central Distribution."
    5. Reference books. 
      1. ss and ssfou reference books are placed on the Reference shelf along the Technical Services hallway wall.
      2. ssqrf (Closed Reference) books are to be delivered to and shelved in the Closed Reference locked cabinet.
      3. “Keep latest in” reference books are swapped out by CatMan staff.
    6. MSU Collection books are placed on the Central Distribution truck for shelving.
    7. Planning & Design books can be placed on CatMan's Central Distribution truck.
    8. Give finished textbooks to CatMan Processing staff to place books on the Central Distribution truck or shelves, or send an e-mail to Mark Andrews that there are Textbooks ready to be shelved.

Policies
  • Monograph rush books are delivered to CatMan to the shelves labeled “Rush Books.”  Books are processed by CatMan staff daily at 11:00 a.m.
  • All Rush labeling work must be completed within 24 hours of being received. If the rush book quantity is very large for one day, material for the Browsing Collection that doesn't have a patron Notify may be processed the next day.
