Barcode problems (obsolete)

Summary: Procedure provides guidance on barcode problems that may be encountered and how to process and resolve them.


This procedure was archived in 2023 and is obsolete. The information below is retained for historic value. It is not reviewed or updated.


Faded duplicate barcodes

  1. Circ. will add a streamer to unscannable books and they will come to Catalog Maintenance on the Cat/Circ Review truck.
  2. If there IS A BARCODE on the inside of the book:
    • Peel off the shield on the outside, back of the book. The top layer of the barcode will come off with the shield
    • Duplicate the barcode on the inside of the book. Affix the duplicated barcode to the back cover and place a shield over it.
    • No catalog verification or checking is needed.
  3. If there IS NO BARCODE on the inside of the book:
    • Peel off the shield over the barcode.
    • Affix a new barcode to the back of the book and place a shield over it.
    • Update the catalog item record with the new barcode number.
  4. Pieces should be returned to the stacks with other Cat/Circ Review materials.

New Book Problem Barcode Resolution

  • Anzio transfers file responds, “View (#) items that did not transfer? Y/N”
  • Say YES to view errors.
  • No barcodes displayed means numbers are missing from the barcode.
  • Barcodes displayed means that either the barcode is not in the item record, OR the barcode is not in the correct “b” tag.
  • Pull up the Cirdat file that lists barcodes.
    1. Click on MY COMPUTER
    2. Select the "c" drive
    3. Click on MILLENNIUM file
    4. Click on OFFLINE
    5. Find CIRC file and RIGHT Click
    6. Click OPEN with NOTEpad
  • Fixing the problems falls into either of the next two sections. See "Barcodes Missing Numbers" OR "Barcode Not In The Item Record or Barcode Has an Incorrect tag."

Barcodes missing numbers

  1. Scroll through the list to find the barcode that is missing numbers.
  2. Copy the barcode that comes just BEFORE the problem barcode.
  3. Search that barcode in Millennium.
  4. Note the call number.
  5. Find that book on the New Book truck for that day.
  6. When found, pull the book that is just after it.
  7. In Notepad fix the incorrect barcode. (Do not fix the barcode in the Millennium item record.)
  8. Repeat to fix all problems if there is more than one error.
  9. Finished, X or CLOSE NotePad and YES to save changes.
    1. Popup box comes up that says "Cannot create..."
    2. Click OK..
    3. "Save as Box" comes up with "Save Offline", File name CIRC,
    4. At "Save as Type: change to ALL FILES.
    5. Another "Save as..." box that says "Do you want to replace it?"
    6. Say YES.
  10. In Anzio, hit Q to QUIT out of the Anzio error display. Transfer of barcodes will not transfer until you’ve quit out of Anzio’s error display.
  11. Go to Millennium CREATE List.
  12. EMPTY the new book file for the day you are working on.
  13. Go to Millennium OFFLINE to upload records again.
  14. Select “File” – “Upload circulation and patron data.”
  15. Yes” to “Upload to server” The same number of records should load as previous loaded before you fixed the errors.
  16. Click OK.
  17. Clear the file, “NO”.
  18. Go to Anzio click QUIT to TRANSFER barcodes into Millennium. OR Continue from Wiki procedure at step 8 under heading “Transferring Barcodes to a Review File”

Barcode has either not been inserted in the item record or is not in the correct "b" tag

  1. Leave the Anzio session up that has the error barcode number displayed.
  2. Copy the barcode from Anzio.
  3. Go back to NOTEPAD to find the missing barcode in the circ file.
  4. Click on EDIT
  5. Drop to “FIND”
  6. Paste barcode into “Find What” box.
  7. Click FIND NEXT. Barcode will be highlighted in the list.
  8. Copy the barcode number that is listed above the problem barcode.
  9. Search that barcode in Millennium
  10. When found note the call number.
  11. Find that book on the New Book truck for that day.
  12. When found, pull the book that is just after it.
  13. In Millennium search for the book by call number.
  14. Determine if the barcode needs to be inserted into the item record, or if it's only the tag that needs to be changed to the correct “b” tag.
  15. Insert the barcode or change the tag.
  16. Close record and save changes.
  17. Repeat to fix all problems if there is more than one error.
  18. Finished, X or CLOSE NotePad.
  19. You will not have changes to save in this section unless you waited until here to save the barcode number corrections from the previous section; if go back to Barcodes Missing Numbers sections.”
  20. In Anzio, hit Q to QUIT out of the error display. Barcodes will not transfer until you’ve quit out of Anzio’s error display.
  21. Go to Millennium CREATE List.
  22. EMPTY the new book file for the day you are working on.
  23. Go to Millennium Offline to update records again.
  24. Select “File” – “Upload circulation and patron data.”
  25. “Yes” to “Upload to server” Note that the number loaded matches what previously loaded.
  26. Click OK.
  27. Clear the file, click “NO”.
  28. From Anzio reload barcodes into Millennium.
