Rovi music & gaming magazines

Summary: Procedure provides guidance on notes and special processes to be followed in the adds and cataloging of Rovi music and gaming magazines, a special cataloging project. The project concluded in December 2018 when cataloging of the gift was completed. 



The project this procedure governed is no longer active. The procedure is no longer reviewed or updated. The information below is retained for historic value. Consult with your supervisor before using.

Adds

Several titles will be adds to existing SPC holdings. Add these as follows.

  1. If appropriate, based on newer issues in hand, enhance / edit the bib record in WorldCat and/or Sierra. E.g. changes in publisher, place of publication, frequency, etc.
  2. In Sierra, add a 541 Source of Acquisition note, denoting the number of issues donated by Rovi (i.e. the number of issues being added to SPC holdings). For example: 541 1_ $c Gift; $a Rovi Corporation; $d 2015; $n (insert number of issues being added) $o issues. $5 MiEM
  3. Edit Sierra holdings statement in checkin record to include new issues. Edit the statement according to the scheme already used. Note that many existing SPC holdings statements are non-standard.
  4. If Sierra checkin record lacks a 008 field or a MARC Leader, add these and populate with appropriate values.
  5. Repeat this process for OCLC LHRs. Note that some serials held in SPC lack existing LHRs, which will need to be created from scratch.
  6. Back in Sierra, do not add any new item records. SPC retains only one item record to represent its holdings of a single title.
  7. Place any issues that are duplicates to SPC holdings on the Surplus trucks.
  8. To assist SPC labeling, print out the OPAC public display with the updated holdings statement. On the printout, next to the item record display, write the top level numerical designation for the added pieces. If you have many pieces that follow the same pattern, you may write numbering for a couple examples, then “etc.” If the issues lack numerical designation, write the chronological designation.

Place the added issues with OPAC printout on the SPC truck.

Copy & original cataloging

For new-to-SPC titles, perform copy or original cataloging as usual (where XXX equals your initials):

  • 049 EEMJ
  • Original 949: *ov=.;recs=conser;ins=XXX;i= /loc=sppop/ty=199/sta=o/w=cmsorigseriXXX;
  • Copy 949: *ov=.;recs=conser;ins=XXX;i= /loc=sppop/ty=199/sta=o/w=cmscopyseriXXX;

Additional steps:

  1. After export from WorldCat, in Sierra, edit the bib to add a 541 Source of Acquisition note, denoting the number of issues donated by Rovi (i.e. the number of issues being added to SPC holdings). For example: 541 1_ $c Gift; $a Rovi Corporation; $d 2015; $n (insert number of issues) $o issues. $5 MiEM
  2. Manually change the checkin location from MN to SPPOP.
  3. In Sierra, create textual holdings statements (866) according to ANSI NISO Z39.71 2006.
  4. Replicate this holdings statement in OCLC LHR.
  5. In Sierra, retain only the single item record created upon the original export.
  6. To assist SPC labeling, print out the OPAC public display with the updated holdings statement. On the printout, next to the item record display, write the top level numerical designation for the added pieces. If you have many pieces that follow the same pattern, you may write numbering for a couple examples, then “etc.” If the issues lack numerical designation, write the chronological designation.

Policies

These procedures presume that the magazines will be cataloged as serials. If appropriate, individual pieces can be cataloged as monographs instead. The ROVI magazines, destined for SPC, were received with the original ROVI Archive in 2015.
