Exporting records from Folio using a .cql file

Summary: This procedure documents how to export records from Folio using either HRIDs or OCLC numbers. This procedure is useful when the starting point is not an Inventory search in Folio, but an external list of identifiers (e.g., HRIDs, OCLC numbers, or Sierra bibliographic numbers). If you are starting in the Folio Inventory app and will have a list of UUIDs, consult the Export MARC fields into an Excel Spreadsheet workflow.

  1. Create a text file of HRIDs or OCLC numbers that follows the following format:
    1. hrid=="in00004530529" or hrid=="in00006541229" or hrid=="in00006772220" or hrid=="in00006060360" or hrid=="in00002193422"
    2. oclc=="61142134" or oclc=="931782223" or oclc=="931794761" or oclc=="1055660255" or oclc=="1055661963" or oclc=="1346573090"or oclc=="1297042005"
    3. Example File: ownership_oclc.cql
  2. Resave as a '.cql' file.
  3. In FOLIO, open Data Export.
  4. Upload the file in the Jobs portion.
  5. Select "Default instances export job profile"
  6. A pop-up will appear "You have selected Default instances export job profile to run the export UUIDs provided for this export"
    1. In the pop-up, select "instances."
  7. In the list of export jobs, click on the file that matches your filename to download the raw marc file (now with a .mrc extension).
