An item record will be attached to each bibliographic record.

An item record must be created for a title even if there is no bar code in it.

A bar code will be placed in an item record even if the location is non-circulating. Special Collections material is not bar coded.

When a copy or volume of a title is withdrawn, the item record will be deleted.

Dummy items were created for the catalog change to the III system. If a bar code is added to a dummy item, the d in the Imessage representing “dummy” should be removed.

Required fields in monograph item records are:

Copy number
IType (system supplied at creation, unless a unique circulation rule is needed)
Location
Status
Agency code (system supplied)
Volume field (if title is a multi-volume work)

Required fields in serial item records are:

Copy number
Icode1 (if the title has limited circulation for a period of years)
IType (system supplied unless a unique circulation rule is needed)
Location
Status
Agency code (system supplied)
Volume field (unless an unbound issue of the title)

Variable fields found in item records:

Bar code
Call numbers 050, 090, 092, 099, and 086 are used when a piece has a call number different then the one in the bib record
Staff note
Supervisor note
Problem note (often used with a code in the Imessage to have a piece returned to a specific staff member after circulation)
Work stats identifying the cataloger
945 fields containing information from the previous library catalog
Other fields used by Course Reserve, Inter-Library Services, Binding Prep, Patron Services, and Preservation

Inventory field (INVDA) will be updated when apiece is sent to the Main New Book shelves.

All new item records for branch libraries will be placed “in-transit” before the piece leaves Catalog Maintenance.

Sublocations in the location field will be filled in by the branch library receiving the piece except for the following locations: Main Library Reference and the Gerald M Kline Digital and Multimedia Center.

Records for electronic titles will have an item record. Item records for Serials Solutions titles will be suppressed from display.
