Summary: Procedure covers the physical processing of music materials including CDs and DVDs, musical scores, and music oversize.



Music CD/DVD processing

Steps for processing:

  1. The next accession number on the sheet of labels will be placed on the CD/DVD case, on the front, the upper left corner.
  2. The same number will be placed in the bib record.
    1. use the 099 field, for indexing in the “Other” call number index.
    2. CD XXXXXX , or DVD XXXXXX will be typed in the field, with a space between CD/DVD and the number.
  3. The case will be bar coded with a pink bar code, on the front, the upper right corner.
  4. The bar code number will be placed in the item record and a 7 placed in the IType field. The item record location should be: muncd (for CDs), muvid (for DVDs).
  5. Substantial booklets in the CD/DVD case will have the accession number written on the booklet on the front, upper left corner.
  6. A title with two CDs/DVDs in the case will have the accession number written on each CD/DVD. The case will have the accession call number label.
  7. CD/DVD titles with multiple cases will need to have the accession number call number on all cases.
    1. each case will need the call number and a volume or part number.
    2. cases will go to Catalog Maintenance labeling area for creation of full call number label for one case, with volume or part number.
    3. case with original accession number label will need a label with the volume or part number.
  8. Add copy CDs/DVDs will be sent directly to labeling.
    1. a yellow sticky will be placed on the case with the CD/DVD call number as it appears in the catalog record
    2. a label will be typed with c.2 on the label, or a separate c.2 label could be used
    3. the labeled case will go to the CD/DVD bar coder for the pink bar code

Oversize Music

The size to determine oversize material for Fine Arts - Music is the same as the size used for the Main collection titles, height 31 cm OR depth 31 cm OR height and depth of 24 cm

  • The written call number inside the book:

    • Do not use f. in the call number

    • On the piece write the word folio at the end of the call number

    • Stamp the location Music Library over the call number in the book if not already done

    • Labeling will include the word folio as part of the call number label. The appearance of the word folio will provide shelving information for staff in the Fine Arts Library.

    • There is no separated Fine Arts Oversize location to use in a record exported from SkyRiver to the catalog

    • When the piece reaches the barcoding point, the word folio will be placed at the beginning of the call number field; either 050 or 090, by the barcoding student. The student will know to make this addition to the cataloged record by the presence of the word folio at the end of the call number label written inside the book. Adding the word at this time, means the word displays preceding the call number in the catalog, but it does not affect indexing or retrieving of the record by the call number.

      • Example: 090  |fflolio|aML624.4.T56

    • The appearance of the word folio at the beginning of the call number, directs users to the appropriate area in Fine Arts to retrieve the piece. Staff in Fine Arts have been consulted and there isn't a problem with the word folio in the front of the call number in the catalog and at the end of the call number on the book label.

    • ML re-labels may appear with the old f. in the call number. When we find these, the f. should be removed from the call number and the word folio placed at the end of the call number on the the written call number inside the book and the call number label on the book. The cataloged record should also be edited by placing the |ffolio in front of the call number.

Music Scores in Pam Folders

All music score pam folders need a call number label, MSU property stamp, pink date due and barcode.

  1. Search record by call number
  2. Verify that you are in the correct record:
    1. Verify that the call number in the record matches the call number on the piece
    2. The call number inside the book should have MUSIC stamped above the call number
    3. The title on the title page should match the title in the 245 field in the bibliographic record
    4. If the title has [electronic resource] in it pull and give to trainer/supervisor
    5. All problems are given to a trainer/supervisor with a note
  3. Verify that the bib record and item record have a music location code.

Typing call number label

  1. Do not include the musical instrument designation in the call
  2. Type volume numbering at the end of the call number label for multi-volumes, numbers, parts, or score number.


Placing labels on pam folders

  1. Before labeling, open the pam folder to see how the score fits in the pam folder.
  2. If the score is smaller than the pam folder, place the call number label and barcode on the pam folder using the edge of the score for placement instead of the edge of the pam folder.
  3. Height: Standard size music scores should not exceed 40 cm. high. Pam folders over 40 cm. need to be evaluated for oversized shelves, or to trim the folder to fit the shelf.
  4. Depth should not exceed 12 inches wide. Within the 12 inches, the right margin should not be more than an inch between the document and the edge of the pam folder.
  5. Place the call number label on the front of the pam folder 1/4 inch down from the top left corner (or from the top edge of score), and 1/4 inch in from the front left edge (or from the edge of the score).
  6. The label can be placed on the binding tape.


Final processing

  1. The pink date due is place on the inside cover of the folder on the lower right hand side, but should not be placed below the bottom edge of the score.
  2. Place the MSU property stamp or sticker centered on the inside cover of the folder.


Barcode

  1. Place the pink barcode on the back of the pam fold 2 fingers down from the top right corner (or from the edge of the score), and 2 fingers over from the back right side of spine (or from the edge of the score).

Policies

M call numbers are always scores and MT's could be scores. They do NOT get the word folio at the end of the call number in the piece and they do not get the word folio in the front of the call number in the cataloged record.  MT books that are not scores, the Music Library will add folio to these as needed.

ML call numbers are books and they could be tall or very long and thus considered to be folio. There is one except, ML 96.4 and ML96.5 are facsimiles, which are not changed to folio. 
Follow the folio procedure below for all ML call numbers that are books, except the ML 96.4 and ML96.5 facsimile

Music CDs/DVDs will be cataloged by a copy or original cataloger. The CDs/DVDs will be given to the Catalog Maintenance team member assigned to handle the final steps and labeling.
