Non-print (A-V) supplement accompanying print book for Main, Oversize, Art

Summary: FOLIO procedure for handling a non-print supplement (DVD, CD, etc.) which accompanies a book going to Main, Oversize, or Art. The supplement will be separated from the main piece and sent to the DMC. Procedure shows book for Main with supplementary DVD.




In OCLC

  • Note: if you are using single-record import, do these steps in FOLIO SRS (MARC) record instead of in OCLC

  • 049:  EEMR $ EEM7
  • 300 field ending in: + $e 1 videodisc (4 3/4 in.)

  • 500 note:  Accompanied by a DVD containing ...

  • 866 _0   Main: Book for use with VideoDVD

  • 867 _0   G.M. Kline Digital/Media: 1 VideoDVD for use with book
  • Create holdings and item records for the book as usual

In FOLIO

  • Holdings record for book

    • "Desktop method": Confirm that the holdings record for the book includes both holdings statements (866/867) put in by job profile
    • Single-record import: Add both holdings statements to the holdings record for the book
  • Create holdings record for supplement, including:
    • Holdings type: Default
    • DMC permanent location for supplementary material (dmsdv, dmscd, etc.). See Location chart. Or, if unsure of proper code, use dm and CatMan will adjust
    • Both holdings statements just as they appear in the holdings record for the book
      • Holdings statement: Main: Book for use with VideoDVD
      • Holdings statement for supplements: G.M. Kline Digital/Media: 1 VideoDVD for use with book
  • Create item record for supplement, including:
    • Material type: Audio/Visual (includes CD/DVD/Blu-Ray/Games/Software)
    • Call number type and Call number identical to the main piece (do not include format label)
    • Copy number: 1 [or as appropriate]
    • Volume: the appropriate format (VideoDVD, CD-ROM, etc.)
    • Your workstats
    • Permanent loan type: same as the main piece (usually Can Circulate)
    • After saving the item, return to the Item Actions menu and change the status to In process
  • If you have more than 1 type of supplement (e.g., DVD and CD-ROM), you will need to create separate holdings and item for each type, since the FOLIO locations will be different

Physical processing

  • Carefully detach supplement from main piece if necessary, and place in appropriate case, adding Supplementary Material streamer
  • Write call number of supplement (same as main piece) on yellow stickie, adding format as final line, and attach to case
  • Attach case to book with pink tie
  • Place both on Non-print labeling shelf in CatMan (currently next to Pearl's desk)
