Project summary/background

A project to catalog a backfile of digitized extension bulletins (DEBs) produced by the various iterations of MSU Extension. The files were digitized by MSU Extension and then transferred to MSUL when Extension decommissioned their database.

Project instructions

  1. In Connexion, search online constant data by title for “extension bulletins” – save this constant data to your local save file (F4)

  2. Access the Google sheet of extension bulletins; claim one for cataloging by putting your initials in the initials column.

  3. Open the extension bulletin by clicking on the URL.

  4. URLs that are broken, mark as initials “broken link”.

  5. URLs that point to single-page fragments of DEBs, mark as initials “fragment--do not catalog”.

  6. Search Folio Inventory to ensure that this version of the digitized extension bulletin isn’t already cataloged. If it is already present in Folio, change your initials to “duplicate” in the Google sheet and move on to a different extension bulletin. Note: if this version of the extension bulletin is cataloged in print, but not digital, this does not count as a duplicate. Proceed with cataloging.

  7. Use the “extension bulletin” constant data to begin an original record, or apply it to derived record from related copy, per your judgment.

  8. Apply provider-neutral guidelines as you catalog. Change the DATE in 588 to today’s date, spelling out the month.

  9. In Folio record, provide a full call number concluding with: Online

  10. In MARC 856 $u, use the URL from the spreadsheet, not the URL in your browser. This is in order to preserve permalinks in the MARC record, rather than record URLs that may change later.

  11. Create authority records for all unestablished personal and corporate names, to the extent possible. This diverges from the usual personal name authorities policy in support of a project for the Digital Repository.

  12. Be mindful of series, using series authority records in OCLC (or in Folio, after Morning Glory) to help you differentiate between the various series of extension bulletins and apply the correct series AAP. Follow series authorities policies and procedures as appropriate for tracing unestablished series or series title changes.

  13. Use information in the preliminary PDF page as evidence but base your description on the piece itself. Series, issuing body, etc. may differ between the preliminary page and the piece itself. Always defer to the piece as primary source of information. For example, the preliminary page may say “Michigan State University” and the piece may say “Michigan State College.” The latter would be preferred because it comes from the piece itself.

  14. Loading to Folio via Data Import:

    1. DEBs constant data in Connexion will auto-populate a 948 and most of what you need in a 949

    2. For new, original cataloging, use job profile CAT6

    3. For overlay cataloging, use job profile CAT7 and be sure to include a 947$c with Instance HRID of target record for overlay
