Authority Records General Policy

Summary: This policy governs the treatment of all authority records in our local catalog database by anyone with MSUL cataloging authorizations.


Authority records in the catalog

Only the Metadata Management team may create, edit, delete, or suppress authority records in our local catalog database. If you have a question about, or an issue with, an authority record in the local catalog, communicate with the Head of Metadata Management.

National authority records in the catalog

  • If you believe there is an error in a national authority record currently in our catalog:
    • Those who have completed NACO training:
      • Edit the national authority record and submit that change via the NACO process.
    • Those who have not completed NACO training:
      • Communicate with the MSUL NACO Coordinator to request a change in the national authority record.
    • If you believe that our catalog lacks a needed national authority record:
      • Communicate with the Head of Metadata Management.

Local authority records

  • If you believe that a local name/title/subject/genre is needed to replace the use of a national authority record:
    • Communicate with the Head of Cataloging and the Head of Metadata Management to request the creation of a local authority record.

Note that there are limited resources available for the maintenance of local headings, so not all local authority requests will be approved





Policies

Typically, the creation and editing of NACO records is handled by LA IV catalogers and catalog librarians; anyone in these positions may pursue NACO training and authorization via the MSUL NACO Coordinator.
