Serials with recent unbound issues

Summary: This procedure outlines the set-up of FOLIO holdings and item records for new standing order serials where a note about recent issues needs to be displayed to the public in EDS/VuFind. 


  • As of winter 2023, EDS does not display serial Folio item records. Instead, it pulls and displays serial Folio holding records (a decision we made locally in order to display holding statements in the OPAC).
  • When a serial title is on standing order with recent unbound issues held in one location of the MSU Libraries (ex. Popular Journals & Magazines), but its bound issues shelved in another location in the MSU Libraries (ex. Remote storage), the Folio holdings and items records should be set-up using the parameters set out below. 
  • Note: when setting up a new serial title, be sure to add a holding record for the bound location with no attached item records. This will give Binding a place to attach items once the first run is bound and also allow for call number searching at the holdings level to bring up the record. 

To search by call number in FOLIO, you MUST switch to searching at the holdings level. For these unbound issue titles, the LC call number is recorded on the holdings level.

Holdings statement public note (choose the most applicable): 

  • Recent unbound issues arranged by title.
  • Retains latest edition.
  • Recent unbound issues held in Main Stacks.
  • Latest edition in MSU REFERENCE.
  • Latest edition in MSU CLOSED REFERENCE.
  • Retain older editions in Remote Storage.
  • Later issues held in Main stacks.

Be sure not to use the "Holdings statement" field for notes.

Do not include a specific location in this text string (ex: BASEMENT 1E).
