MSU Theses (fiche and electronic)

Summary: This procedure covered the cataloging of microfiche and electronic forms of MSU theses, but not print. The procedure is no longer in use. See more current procedures on ETDs cataloging.


This procedure is out-of-date and no longer reviewed or updated. The information below is retained for historic value. Do not use in current e-thesis cataloging. 

These instructions are for MSU theses which we receive only in fiche and electronic forms -- no print. These theses will normally have a Proquest record for the e-thesis already loaded in the catalog. If there is no record for the e-thesis, one can be created. However, if you find a large number of fiche with no corresponding e-thesis records in Millennium, consult the CMS Team Manager to see if a record load can be done.

Electronic thesis

  1. Open the e-thesis record in Millennium corresponding to the fiche you have.
  2. Open the e-thesis page at Proquest by clicking on the URL in the Millennium record. Click on "Open in PDF reader" to see the thesis in a new, larger window.

Steps 3 - 5 can be done in Millennium or in Skyriver. If you open the record in Sky to edit it, you will need to overlay the existing Millennium record when you export. You will not need to do anything with the URL, since it is a protected field and will remain in the Millennium record.

  1. Verify the accuracy of the e-thesis record. Especially check 100 and 245 fields, language, and degree type and date.
  2. Edit existing fields:
    1. 300 and fixed field: Add preliminary paging and correct regular paging. Add ill. or maps if applicable.
    2. 502 field: Add program or department name, generally as it appears on the title page.
    3. 504 field: Add paging for bibliographical references if applicable.
    4. 588 field: Add viewing date.

      Example: Title from PDF t.p. (viewed on Jan. 8, 2013)

      or: Description based on online resource; title from PDF t.p. (ProQuest, viewed on Jan. 8, 2013)

  3. Add fields:
    1. 041 and 546 language fields if applicable.
    2. 043 geographic code if applicable.
    3. 246 fields if needed. Watch for differences in title between PDF title page and Proquest landing page (such as abbreviations spelled out).
    4. Subjects.
    5. If you are working in Skyriver, add
      • 099 MSU ONLINE THESIS
      • 949 with the bib number to overlay the existing Millennium record
  4. Change the workstat code in the Millennium item record to cmsethsxxx [your initials]

Microfiche thesis

  1. Go to the edited Skyriver e-thesis record and derive a new record (or cut and paste into a new workform)
  2. Delete the following fields:
    1. 006 and 007 for electronic resources
    2. 588 "Description based on" / "Title from" note
    3. 538 "Mode of access" note
    4. 655 "Electronic dissertations"
    5. 856 field, if present
    6. 949 field, if present
    7. 999 field, if present
  3. Add or edit the following. (Some can be added via a constant data record.)
    1. Fixed field Form: b (Type code remains: t)
    2. 007 he amb---bac (The space needs to be there to mark the obsolete subfield c)
    3. 020 Add |z at the beginning of both 020 fields.
    4. 049 EEM# |a EEMT
    5. 099 Author's last name, First initial - # fiche (no period after initial)

      Example: Williams, B - 4 fiche

    6. 245 Add the GMD: |h [microform]

      Example: Music, death, and dying |h [microform] : |b a systematic review

    7. 300 Paging and ill./maps only -- do not include size.

      Example: xv, 138 p. : |b ill. (Use 'p.' rather than 'leaves' in 300 and 504)

    8. 533 Microfiche. |b Ann Arbor, Mich. : |c UMI, |d 20xx |e # microfiche ; 11 x 15 cm.  (Fill in date and number of fiche from the fiche header. Date may be different from 260/502 date.)
    9. 866 _1 # fiche (Fill in number of fiche. If there is only 1 fiche, do not use this field.)
    10. 949 *ov= ;i= /loc=mcths/sta=o/ty=0/w=cmsthsmfxxx,# (Fill in your initials and number of fiche.  Status code is letter o ; type code is zero.)



Policies

Older records in the local catalog may exist that represent both the print and fiche versions of a thesis on a single record. This represents past practice and is not indicative of current policy or practice.
