Copy 21 materials (obsolete)

Summary: Procedure details the handling of Copy 21 library monographs and serials, a vestigial of the moving of books from the Undergraduate Library into the Main Library Collection.

Copy 21's are Library monographs and serials transferred into the Main Library collection from the old Undergraduate Library. Some of these copies have been added to the system and some have not. Each one is handled on a case by case basis. Following are the processing instructions for copy 21's.

  1. The Library no longer uses "c.21" as a copy number. The intent is to eliminate (or withdraw) all copy 21's or assign them a new copy number. Copy 21 will need to be changed to either a copy 2 or the next available copy number. When reassigning a new number to the copy 21, never assign it a copy 1.
  2. Check the database in the summary screen for copies listed. 
  3. Search for the actual pieces in the stacks if there are any. Some of the main copies may have already been withdrawn.
  4. In cases where there are no copies in the stacks and the database indicates that a copy has circulated, the piece will be added to the copy holdings. The copy number assigned should be the next available copy number but is never a copy 1 or 21. If there is already a copy 2, use the next available copy number. When a copy 2 and 3 already exist, a copy 4 would need to be used. Also, if copy 21 is already on the Magic summary screen, change the copy 21 to the next available copy number other than copy 1.
  5. If the copy has not circulated or the other main copies have been withdrawn, ask the bibliographer for that subject area if they want the piece added to the collection.
  6. Change the copy number in the book to match the copy number on Magic. Next, place the book on the re-labeling shelves in the labeling room.
