Wilensky-Ritzenhein gift

Summary: This procedure outlines the steps to be followed in the cataloging of materials donated to Special Collections by Stephen P. Wilensky and Mark S. Ritzenhein. This project has largely concluded. When books or print-outs only are brought to our teams, one of the four processes below (designated as workflows) will be followed.


This project this procedure governed is no longer active. The procedure is no longer reviewed or updated. The information below is retained for historic value. Consult with your supervisor before using.


Workflow # 1 – Duplicate W-R book is not used in our collection

W-R book dups to our collection and the decision is made (by Sharon Ladenson) to keep our existing book and not substitute with the W-R book.

  1. Print-out is sent to CatMan team and put in the box labeled Wilensky-Ritzenhein.
  2. CatMan team will put a series note [Wilensky-Ritzenhein Gay Book Collection] in the bib record. Note: There will not be a bib 590 gift note or item 856 field added to this record because we are not using the W-R book.
  3. Sharon Ladenson will coordinate sending the unneeded W-R book to the LBGT Center.

Workflow #2 – Substitute W-R book with book in our collection

W-R book dups to our collection and the decision is made (by Sharon) to substitute the W-R book for our MSUL book.

  1. Both books (W-R book and existing MSUL book) are pink-tied together with a print-out included and put on a shelf for CatMan to process.
  2. CatMan Team will handle the process of substituting the W-R book for the MSUL book which will include adding the 590 gift note [MSU: Gift of Stephen P. Wilensky and Mark S. Ritzenhein] as well as adding the series note to the bib record.
  3. In the item record insert a "y" tag with the gift plate |z note & URL": "y 856|zGift of Stephen P. Wilensky and Mark S. Rizenhein|u//www.lib.msu.edu/giving/ebookplates-view.jsp?id=667"
  4. CatMan Team will send the MSUL book to MSU Surplus and MSU Surplus will decide if the piece is worth selling or if it will be discarded.

Workflow #3 – Adding non-duplicating W-R book to our collection

Adding a unique W-R book to our collection.

  1. W-R book with print-out (if available) is put on a shelf for the CMS team to process (Shelf is the same shelf that the CatMan books (mentioned above) are put on.). Additionally, some other designation will need to be put in the book designating it as a W-R book.
  2. CMS Team will catalog book and put in the bibliographic 590 note, series notes, and item record 856 gift plate note (mentioned above in Workflow #2, step #3).

Workflow #4 – Adding another copy to our collection

W-R copy is to be added to our collection in addition to our existing MSUL copy.

  1. W-R book with print-out is put on a shelf for the CMS team to process. A note is written on the print-out designating that the W-R book is an add and not a substitution.
  2. CMS Team will process the book and put in the bibliographic 590 note, series notes, and item record 856 gift plate note (mentioned above in Workflow #2, step #3).
