Processing new books (non-main)

Summary: After cataloging, all non-main books will be transferred to the designated shelving in the CATMAN barcoding/labeling area. This procedure describes steps to be taken in the processing, labeling, and barcoding for different MSU Libraries locations and notifies.

Art

  1. All N and TR call numbers go to ART unless they fit the oversize category. Oversize items are shelved in the Oversize collection.

  2. Catalogers should stamp "ART LIBRARY" above the handwritten call number.  If the book is shelf ready, the stamp should be on the top left of the inside cover on hardcover books or on the back of the title page on paperbacks.

  3. Art books that do not begin with an N or TR receive an “ART” label above the call number.

  4. Permanent location in the Holdings should be “ar”.

  5. Use a white barcode and no date due slip.

  6. Scan barcode into the barcode field in the item record.

  7. Piece gets an MSU ownership stamp or sticker.

  8. Check-in books in FOLIO to change “In Process” status to “Available”.

  9. Place art books on designated shelving in the Technical Services hallway.

*Browsing

  1. Browsing books will have an orange streamer in them.

  2. The permanent location in the item record should be “br” and the permanent location in the holdings record should be “mnmn”, unless it is destined for another branch when transferred out of browsing (ie. Music, art, or business).

  3. Permanent loan type is “Can Circulate” (six months).

  4. Scan barcode into the barcode field in the item record.

  5. Use a white date due slip.

  6. Piece gets an MSU ownership stamp or sticker.

  7. Labeling and barcoding books with a book jacket:

    1. Both the book and the jacket receive a call number label and barcode.

    2. Place a "BROWSING" label above the call number label on the jacket.  Do not place a "BROWSING" label on the piece itself.

    3. Place a barcode (that corresponds to the permanent holdings location) on the back of the piece and a duplicate white barcode on the back of the book jacket.

  8. Labeling books without a book jacket: a "BROWSING" label is placed above the call number label.

  9. Place a plastic cover around the book jacket.

  10. Check-in books in FOLIO to change “In Process” status to “Available”.

  11. When finished, place the book on the Central Distribution truck.

Business

  1. Catalogers should stamp "Business Library" above the handwritten call number.  If the book is shelf ready, the stamp should be on the top left of the inside cover on hardcover books or on the back of the title page on paperbacks.

  2. Verify in the holdings record that the book has a “BU” location.

  3. Use a yellow barcode and a white date due slip for the book.

  4. Scan barcode into the barcode field in the item record.

  5. Piece gets an MSU ownership stamp or sticker.

  6. Check-in the book to initiate “In-transit” status in FOLIO.  Place books on the Business library mail shelf. 

  7. Special handling instructions for items with a red rush streamer:

  8. Business Library Popular Collection 

    1. The item record should have the permanent location “bupop”.

    2. Place a plastic cover around book jacket if there is one.

    3. Place call number label on the book jacket and the piece.

    4. Place a yellow barcode on the back of the piece. If there is a book jacket, place a duplicate barcode with a yellow shield on the back.

  9. Business Library Reference Collection

    1. Holdings location should be “bunqr” or “bunrf”.

Chavez Collection

  1. Catalogers should stamp "Chavez Coll" above the handwritten call number.  If the book is shelf ready, the stamp should be on the top left of the inside cover on hardcover books or on the back of the title page on paperbacks.

  2. In the Holdings Record, the permanent location should be “mnmn”.

  3. In the Item Record, the permanent location should be “mncv”.

  4. Use a white barcode and white date due slip.

  5. Scan barcode into the barcode field in the item record.

  6. Chavez books get a special bookplate inside the book and 2 large C's near the call number (above the label on the spine, or beside the label on the front).

  7. Check-in books in FOLIO to change “In Process” status to “Available”.

  8. Place Chavez books on designated shelving in the Technical Services hallway.

Children's & YA Literature Book Collection

  1. Books for the MSU CHILDREN'S & YA Literature Collection will have a lavender streamer.

  2. Use a white barcode and a lavender “Children’s” date due slip.

  3. In the holdings record, the permanent location will be determined by sublocation. See chart below for guidance.

  4. Verify that the Instance record has a Series statement: “MSU Children's & YA Literature Collection.MiEM”  If not, select edit Marc under Actions menu and add the following field:

    830 marc field
    <p>830 \ 0 $a MSU Children’s &amp; YA Literature Collection. $5 MiEM</p>
  5. In the item record:

    1. Under Item data, “Other scheme” should be selected in the Call number type drop down menu.

    2. There should also be a Prefix identifying the sublocation and Call Number.

    3. Permanent loan type is “Can circulate”.

    4. Scan barcode into the barcode field.

  6. Place a “C&YA LIT COLL” label above the call number label if the label is on the spine, or below the call number label if the label is on the front.

  7. Labeling books with a book jacket:

    1. Both the book and the jacket receive a call number and barcode label.

    2. Place a “C&YA LIT COLL” label above the call number label on the  jacket.  Do not place a “C&YA LIT COLL” label on the piece itself.

    3. Place a white barcode on the back of the piece and a duplicate barcode on the back of the book jacket.

  8. Place a plastic cover around the book jacket.

  9. Check-in books in FOLIO to change “In Process” status to “Available”.

  10. When finished, place the book on the Central Distribution truck.

Conservation Lab Collection

  1. Permanent location in the Holdings should be “mnprv”.

  2. Use a white barcode and a white date due slip.

  3. Catalogers should write "Conservation Lab" above the handwritten call number. 

  4. Place a “Con Lab” location label above the call number.

  5. In the item record:

    1. Scan barcode into the barcode field.

    2. Click Edit under the Actions menu. Add a check-in note "Return to Conservation Lab.” And check as Staff only.

  6. Piece gets an MSU ownership stamp or sticker.

  7. Check-in books in FOLIO to change “In Process” status to “Available”.

  8. When finished, send book to Conservation.

*Course Reserve

  1. Course Reserve books will come with a yellow streamer.

  2. Verify the location and loan type in the item record:

    1. Temporary location should be “mnres”

    2. Temporary loan type should be “2 hour loan”

  3. Use a white barcode and white date due slip.

  4. Scan barcode into the barcode field in the item record.

  5. Piece gets an MSU ownership stamp or sticker.

  6. Check-in books in FOLIO to change “In Process” status to “Available”.

  7. After the books are processed:

    1. Main reserves are placed on the shelf in Circulation.

    2. Art and Music reserves are placed on the shelves in the Technical Services hallway.

    3. DMC Reserve books are placed inside the DMC cabinet.

    4. Business Reserve books are placed in-transit and sent directly to the branch.

Faculty Book Collection

  1. MSU Faculty Book Collection books will come with a blue streamer.

  2. Use a white barcode and white date due slip.

  3. Verify that the following:

    1. The Instance record has a 590 note, "MSU Stanley C. and Selma D. Hollander Faculty Book Collection."

    2. The Item record - Statistical Code has "Faculty Book Collection."

    3. The Item record should have a Staff note, "[YEAR] needed for FBC reception."

    4. Verify the call number in the Item record.

    5. In the Holdings Record, the permanent location should be “mnmn”.

    6. In the Item record, the permanent location should be “mndv”.

    7. Permanent loan type is “Can Circulate”.

  4. Scan barcode into the barcode field in the item record.

  5. Piece gets an MSU ownership stamp or sticker.

  6. Place the "MSU Faculty Book Coll.” label above the call number label if the label is on the spine. Place the "MSU Faculty Book Coll.” label below the call number label if the label is on the front.

  7. Labeling books with a book jacket:

    1. Both the book and the jacket receive a call number label and barcode.

    2. Place a "MSU Faculty Book Coll.” label above the call number label on the jacket, and below the call number if the label is on the front.  Do not place a "MSU Faculty Book Coll.” label on the piece itself.

    3. Place a white barcode on the back of the piece and a duplicate barcode on the back of the book jacket.

  8. Check-in books in FOLIO to change “In Process” status to “Available”.

  9. When finished, place the book on the Central Distribution truck.

*ILL - On Demand

  1. On Demand is a rush process and will have a red streamer.

  2. Process books using New Book Processing procedures.

  3. Check-in books in FOLIO to change “In Process” status to “Available”.

  4. After the book is processed, place book on the ILL - PURCHASE ON DEMAND shelf.

*Makerspace

  1. Makerspace books will come with a red rush streamer.

  2. The permanent location in the Holdings should be:

    1. mnmsb (book) - Can circulate

    2. mnmst (technology) - Technology materials circulate three days, unless specified to circulate 72 hours.  

  3. Use a white barcode.

  4. Scan barcode into the barcode field in the item record.

  5. Piece gets an MSU ownership stamp or sticker.

  6. Catalogers should stamp "MAKERSPACE" above the handwritten call number.  If the book is shelf ready, the stamp should be on the top left of the inside cover on hardcover books or on the back of the title page on paperbacks.

  7. Place the appropriate date due slip inside piece:

    1. mnmsb (book) - white date due slip (can circulate)

    2. mnmst (technology) - green MAKERSPACE TECH (7 day or 72 hour)

  8. Place a "MAKERSPACE" label above the call number label.

  9. Check-in books in FOLIO to change “In Process” status to “Available”.

  10. When finished, shelve book in Makerspace.

Map Books

  1. All G call numbers between G1000-G1999 go to the Map Library.

  2. Catalogers should have stamped "Maps" above the handwritten call number. If the book is shelf ready, the stamp should be on the top left of the inside cover on hardcover books or on the back of the title page on paperbacks.

  3. Books that do not begin with a G call number will receive a “MAPS” label above the call number label.

  4. Use a white barcode and no date due slip.

  5. The permanent location in the Holdings should be “mp”.

  6. Scan barcode into the barcode field in the item record.

  7. Piece gets an MSU ownership stamp or sticker.

  8. Check-in books in FOLIO to change “In Process” status to “Available”.

  9. Place map books on designated shelving in the Technical Services hallway.

Microform Guides

  1. Catalogers should have stamped "Micro Guide" above the handwritten call number. 

  2. Place a "Micro Guide" label above the call number label.

  3. Use a white barcode.

  4. Identifying markings are added by Microforms Library staff.

  5. The Permanent location in the holdings record should be "mcgde".

  6. In the item record:

    1. Permanent loan type should be “Non-Circulating”.

    2. Scan barcode into the barcode field.

    3. In the Actions menu, change status to “Restricted”.

  7. Place microform guides on designated shelving in the Technical Services hallway.

MNPRO - Protected Collection

  1. MNPRO books will have a dark green mnpro streamer in them.

  2. In the Holdings Record, the permanent location should be “mnmn”.

  3. In the Item Record, the permanent location should be “mnpro”.

  4. Use a white barcode and white date due slip.

  5. In the item record:

    1. Click Edit under the Actions Add a check-in note "Give to Circulation Supervisor (for return to Protected Collection)."and check as Staff only.

  6. Scan barcode into the barcode field in the item record.

  7. Piece gets an MSU ownership stamp or sticker.

  8. MNPRO books receive additional MSU property stamps on all three outside edges of the text block.

  9. Place a “PC” label above the call number label if the label is on the spine, or below the call number label if the label is on the front.

  10. When finished, place book on Protected Collection shelves.

*MSU Collection

  1. MSU Collection books will have a "MSU COLL." stamp above the handwritten call number located on the inside of the book.

  2. Use a white barcode and white date due slip.

  3. Scan barcode into the barcode field in the item record.

  4. Piece gets an MSU ownership stamp or sticker.

  5. Place the "MSU COLL." label above the call number label if the label is on the spine. Place the "MSU COLL." label below the call number label if the label is on the front.

  6. Verify that the permanent location is mnmsu in the Holdings Record.

  7. Permanent loan type is “Can Circulate” (6 months).

  8. Check-in books in FOLIO to change “In Process” status to “Available”.

  9. When finished, place the book on the Central Distribution truck.

Music

  1. All M call numbers go to music regardless of their dimensions.

  2. Catalogers should stamp "Music Lib" above the handwritten call number.  If the book is shelf ready, the stamp should be on the top left of the inside cover on hardcover books or on the back of the title page on paperbacks.

  3. Verify in the holdings record that the book has a “mu” location.

  4. Use a pink barcode and a pink date due slip for the book.

  5. Scan barcode into the barcode field in the item record.

  6. Piece gets an MSU ownership stamp or sticker.

  7. Check-in books in FOLIO to change “In Process” status to “Available”.

  8. Place music books on designated shelving in the Technical Services hallway.

*Notifies

  1. Notify books are a rush process and will have a red streamer.

  2. Process books using New Book Processing procedures.

  3. Check-in books in FOLIO to change “In Process” status to “Available”.

  4. After the books are processed:

    1. Main, Art, and Music Notifies are placed on the Notifies shelf in Circulation.

    2. DMC Notifies are placed inside the DMC cabinet.

    3. Business notifies are placed in-transit and sent directly to the branch.

Oversize

  1. Catalogers should stamp "OVERSIZE" above the handwritten call number.  If the book is shelf ready, the stamp should be on the top left of the inside cover on hardcover books or on the back of the title page on paperbacks.

  2. Verify that the book dimensions are oversize. 

  3. A piece is oversize if:

    1. Recorded height is 31cm or more (actual height is greater than 30cm)

    2. Recorded width of 31cm or more (actual width is greater than 30cm)

    3. Piece has recorded size of BOTH 24cm tall AND 24cm wide (actual size is greater than 23 x 23 cm)

  4. Use a white barcode and white date due slip.

  5. The permanent location in the Holdings should be “mnov”.

  6. Scan barcode into the barcode field in the item record.

  7. Piece gets an MSU ownership stamp or sticker.

  8. Place an "OVERSIZE" label above the call number label.

  9. Check-in books in FOLIO to change “In Process” status to “Available”.

  10. When finished, place the book on the Central Distribution truck.

Planning Reports

  1. In the holdings record, permanent location should be:

    1. “mnprc” for standard reports.

    2. “mnopr” for oversize reports.

  2. In the item record:

    1. Under Item data, “Other scheme” should be selected in the Call number type drop down menu.

    2. Verify call number follows format shown below:

  3. Use a white barcode and white date due slip.

  4. Scan barcode into the barcode field in the item record.

  5. Piece gets an MSU ownership stamp or sticker.

  6. Format label using the following:

    1. The first line of the label should be the state in all caps.

    2. The second line of the label should start with two blank spaces, and then the city/region from call number.

    3. Insert a blank line.

    4. Copy and paste the “index title” from the Instance record.

  7. Place Label on the front upper left corner of the book.

  8. Place a yellow "P" sticker under the left corner of the label for standard reports.

  9. Place a yellow “O” sticker under the left corner of the label for oversize reports. 

  10. Check-in books in FOLIO to change “In Process” status to “Available”.

  11. When finished, place the book on the Central Distribution truck.

Popular Science

  1. Popular Science books will have a red streamer in them.

  2. The permanent location in the item record should be “mnpop” and the permanent location in the holdings record should be “mnmn”, unless it is destined for another branch when transferred out of Popular Science (ie. Music, art, or business).
