Summary: This procedure details steps to be taken when copy cataloging gifts to the MSU Libraries.


This procedure needs to be updated from AACR2 to RDA and some info may be out of date.


Copy Cataloging

  1. Check for duplication in the local catalog. If there is duplication, contact selector to confirm copy 2 is wanted (streamer may already indicate this). Add copy or loc if wanted.
  2. Search OCLC for copy. Carefully compare the book in hand to the bibliographic record, using the chart. Refer all questions to the Head of Copy Cataloging.

Additional edits

  1. Edit the record as necessary based on chart.
  2. If it is necessary to complete the 300 field, there is one required and one optional subfield to be entered. Subfield 'a' contains paging (ALWAYS include this subfield if it is missing from the record); subfield 'b' contains illustration notes (omit this subfield if the book does not contain illustrations). Each subfield is identified by the presence of a delimiter (or subfield) symbol plus the alphabetic subfield character.
  3. To create the delimiter (subfield) symbol, hold down <shiftl>'and tap the '|'' key (pipe key) (which is just above the "enter" key on your keyboard). This works in both Millennium and SkyRiver.
  4. If the book contains illustrations (pictures or drawings), use the abbreviation ill. in subfield 'b'. If the book contains maps, use map or maps in subfield 'b'.

    An incomplete 300 field looks like this:

    After editing, the field should look something like this:

    Note that the |a code does not appear before the paging information in the 300 field; this is normal.
     
  6. If necessary, change the code in the 049 field to match the online catalog location designated.
    Remember that class numbers N-NX and TR selected for MN will be processed for AR, and all K-KZ call numbers selected for MN will be processed for BU.
  7. Add the 949 field:
    *ov=.oXXXXXXXX; i=[space]/loc=[location code];

    EXAMPLE: *ov=.o12345678;i= /loc=bu;
  8. Export the record.

Write the call number in the book (inside front cover, or top left corner of the first flyleaf for hardbacks; centered on the verso of the title page for paperbacks.) Use location stamp as appropriate.
