Cookbooks (McDaniel-Dixon/Grant)

Summary: This procedure outlines the steps to be followed in the cataloging of cookbooks donated to Special Collections by Donna Dixon McDaniel and items purchased with Beatrice V. Grant Endowment funds. The project is no longer active, although books may continue to trickle through. 


The project this procedure governed is no longer active. The procedure is no longer reviewed or updated. The information below is retained for historic value. Consult with your supervisor before using.


Workflow overview

  • Uncataloged cookbooks are on the shelves to the right of T-Loc A, behind Autumn's office. Anything placed on the cookbooks shelves, including any pamphlets or non-cookbook items, may be cataloged.
    • When boxes of McDaniel cookbooks are delivered, Peter Berg will unpack the materials in SPC and weed out unwanted items.
  • Items are a mix of mainstream and community cookbooks and belong to different collections:
    • items donated by Donna Dixon McDaniel (mostly mainstream, some community cookbooks)
    • items purchased with Beatrice V. Grant Endowment funds (mostly community cookbooks, some mainstream)
  • McDaniel and Grant cookbooks will be placed on appropriately labeled shelves so catalogers know which gift notes to apply.
  • For any mystery fiction included in the cookbooks collection, catalog accordingly and use location "spmys" in the item record.

1. Search for item in the catalog

If duplicate of SPC item:

  • put record printout or note with call # in book
    • no need to note if dup is in Grant or McDaniel collection
  • place book on dup shelf on cookbooks cart

If copy 1 exists in Main:

  • if monograph, add as copy 2 in SPC and adjust 590 gift note (see below) to read:
    MSU: Copy 2 gift of Donna Dixon McDaniel.
    MSU: Copy 2 purchased with funds provided by the Beatrice V. Grant Endowment Fund.
  • if serial (rare), add as another copy 1 in SPC​

If adding volume to existing multipart monograph:

  • no separate item record needed for each volume
  • adjust 866 note to reflect addition
  • add new 590 note for volume in hand if needed (see below)

2. Apply gift note & constant data

Constant data sets with these gift notes for copy and original are included below. Many McDaniel items will have copy, but most Grant items will require original.

3. If community cookbook:

  • Add special 650
    Example: 650 #0 Community cookbooks |z State |z Place.
     
  • Add 7xx fields as needed
    Example: 710 2# First Baptist Church (Aberdeen, Miss.)

4. Add notes for dust jacket, binding, signature, sets, etc.

  • no separate item records required for SPC multipart monographs

5. Assign other subjects as needed

Add subject headings for both the type of cooking and/or type of food preparation represented in the book.

6. Assign/adjust call number as needed

  • LC class for cookbooks: TX703 – TX819
     
  • Oversize items more than 27 cm tall or 22 cm (9 in) wide: add folio designation to call #.

7. Physical processing

Leave dust jackets on books.

Call numbers are not written in SPC items. Instead:

  • Create a printout of record
  • If printing from Sierra/Millennium, highlight call number
  • Place printout in book
  • Put book on cookbooks cart
