Creating a new location code in FOLIO

Summary: Procedure for creating a new location code in FOLIO

  1. Contact the Head of Catalog Maintenance and gather the following pieces of information needed to create a new location:
    1. FOLIO Name (To determine how this location will display in FOLIO)
    2. Discovery Name Display (To determine how this location will display to the public?)
    3. FOLIO location code (Match the formatting we have for other location codes)
    4. Service points (See chart at bottom of page on determining which service points to assign for items in the Main collection)
    5. Loan rule or length of loan period is not needed to create location code. That information is decided by the curator/selector and is actualized by entering the loan type in the Permanent/Temporary loan type field(s) in the item record.
    6. A description of the purpose of the code, if helpful, to distinguish it from a different location.
  2. The Head of Catalog Maintenance will create the FOLIO location following the prompts in FOLIO.
    1. Go to Apps dropdown menu and select Settings > Tenant > Locations and follow prompts:
      1. Institution is ‘Michigan State University-Library of Michigan (MSU-LM)’
      2. Campus is ‘Michigan State University (MSU)’
      3. Library: Select the library location where the new collection will reside
    2. Click on the 'New' button which will bring you to a template to fill out for the location code you are creating
      1. Fill in the FOLIO name, Code, and Discovery display name fields
      2. Select the service point(s) which indicate where the item can be checked out at (see chart below)*
      3. Status should be set to Active
      4. Write a brief description for the purpose of the location code
  3. Head of Catalog Maintenance will contact the following staff/departments, supplying all the information provided in point one above. This can be handled as a group email:
    1. Acquisitions – Lisa Smith and Ed Gildner to have location added to GOBI tables
    2. Cataloging – Joshua Barton, Autumn Faulkner and Lisa Robinson
    3. Christine Tobias – To add the new location to EDS location tables
    4. Circulation – Erin Weller and Kati Shedd
    5. Emily Sanford – To add the location to the TS Confluence location tables
    6. ILS – Kim Pierce – To explain where the new collection resides
    7. Reference – Rachel Minkin and Emilia Marcyk
    8. VuFind – Do not need to contact anyone as VuFind will automatically pick up this code once it shows in FOLIO
  4. Once all contacts in point three have been notified, the code can be used in FOLIO.

*For collections (location codes) that reside in Main, choose all the following service points.  This will stop the in-transit message from showing when items are checked in at these locations.
