Processing digital media materials

Summary: Procedure for processing digital media materials going to DMC.


  1. All pieces will have a call number written on a post-it note from cataloger.
  2. Bring the record up in FOLIO by the base call number.
  3. In the Instance Record:
    1. Verify that the title in the record matches the item.
    2. Check the Region Code and PAL Format in the Instance Notes.
  4. In the Holdings Record:
    1. Check for Holdings statement if the material has multiple discs, accompanying booklet, leaflet, or other supplementary material.
    2. Verify sublocation.

  5. In the Item Record:
    1. Verify that Permanent loan type is a 14 Day Loan.
    2. Insert the barcode.
    3. Verify volume field to include number of discs and/or booklet, leaflet, etc.
  6. Labeling DVDs:
    1. Place call number label on the upper left corner of case.
    2. If it is a PAL Format or has a Region Code place label on front bottom of the DVD case. (Region 1 is not included in the call number and does not require a label.)
    3. Place a white barcode inside the case centered above the disc.
    4. Place a property label inside the case under the disc.
  7. Labeling CD-ROMs:
    1. On the front of case:
      • Place call number label on the upper left corner
      • Place barcode on the center top.
    2. On the back of case, place property label on the bottom center.
  8. Boxed Sets have multiple cases in a box.
    1. The barcode will be placed on the top center near the call number label on the outside of the box.
    2. Each case within the box should have a call number label and a property sticker, but no barcode.
    3. There should be one item record for the box set. Click Edit under the Actions Add both a check-in and check-out note, and check as Staff only:
  9. DMC notifies and course materials are placed inside the DMC cabinet when finished processing.
